Defining Time Management

Time Management is the process of exercising control over time to carry out certain tasks or actions in an optimal way. It is the ability to organize and plan your time to maintain high levels of personal productivity.

What is a Schedule? (2-Mark Essential) A schedule is a plan for carrying out a process or procedure, giving lists of intended events and times. It acts as a roadmap for your day, week, or month.

The Pareto Principle (20/80 Law)

The Pareto Principle states that in many situations, roughly 80% of the effects come from 20% of the causes. In time management, this means:

  • 20% of your work time produces 80% of your results.
  • Doubling your effective working time (the high-impact 20%) can drastically increase your total output.

The Eisenhower Matrix

This classic method ranks tasks according to two criteria: Urgency and Importance.

  1. Urgent & Important: Complete these immediately.
  2. Important but Not Urgent: Plan these for implementation. If ignored, they will eventually become urgent.
  3. Urgent but Not Important: These cause "pressure." The right solution is to delegate these.
  4. Unimportant & Not Urgent: These are time-wasters; perhaps you do not need to deal with them at all.
